In consideration of the character of Sunset Polo, the Great Meadow Foundation (GMF), of other guests, and of public health and safety regulation, I do understand and agree by my reservation payment as follows:
Individual Declaration of Non-Exposure
All attendees and their guests must be able to assure management that neither themselves, nor anyone in their household:
A. Has tested positive or has been presumed positive for COVID-19 at any time during the past 5 days.
B. Has been in close physical contact with someone who has tested positive for COVID-19 or who has been presumed positive for COVID-19, during the past 5 days.
C. Is subject to a quarantine order or a recommendation of a healthcare professional that, in either case, would make it inadvisable to attend a public event or competition.
D. Has, within the past 24 hours, exhibited any of the following symptoms: fever of 100.4 or greater, respiratory virus, or shortness of breath. IF any of these apply, we urge people sick with symptoms of respiratory viruses to stay home until their fever has disappeared for at least 24 hours without relying on fever-lowering medications and their symptoms are improving.
The same is asked of players, coaches, grooms, staff and officials.
1. GA TICKETS – Valid May 25, 2024 to September 14, 2024. Each vehicle must possess an official pass. Purchaser will issue no other form of ticket to admit vehicles or guests to the grounds. Sublease of and/or admission charge to any amenity is strictly
prohibited. Additional tickets may be purchased (if available) by calling 540-252-6951. Any caterers or service personnel will be provided car passes as needed.
2. FOOD AND BEVERAGES – Picnics are allowed or food may be purchased on the grounds. Sunset Polo will also provide the names of our approved caterers for your party. Any alcoholic beverages must be purchased in Virginia, as required by law. Guests must be 21 years of age to consume alcoholic beverages. Purchaser will provide any needed water supply, ice, food, and non-alcoholic beverages. Food, wine and beer will be available for purchase on the grounds.
3. WOOD OR COAL BURNING STOVES, BARBECUES, AND GROUND FIRES ARE NOT PERMITTED.
4. GLASS AND LITTER - In consideration of the safety of people and horses, purchaser and guests will use only shatterproof, (not glass), drinking containers. Glass bottles are strictly prohibited on the grounds and are subject to confiscation. Trash must be left bagged and/or taken away upon leaving. Purchaser is subject to fine and future loss of space for violation of this provision. Please note that there is a $500 fine for littering or use of glass bottles.
5. PERSONAL CONDUCT - Purchaser understands that this is a family-oriented event, and that conduct infringing upon neighboring spaces or the rights of others is prohibited. Drunk or disorderly conduct is subject to arrest and eviction. Guests accept responsibility for the conduct of all people in their party.
6. PETS INCLUDING DOGS ARE NOT PERMITTED ON THE GROUNDS. Service animals are welcome.
7. SIGNAGE, MUSIC AND PROMOTIONAL CONDITIONS – Purchaser’s space will be identified by a standard sign provided by Sunset Polo with your space name located on front of the space. Flags, balloons, signage or other promotional materials may not be placed outside of Purchaser’s space, nor any banner placed on the perimeter fence. Public solicitation, leafleting, posters, and political activities outside of Purchaser’s space are prohibited. Any musical entertainment, boom box or electrical generator is prohibited.
8. ADVANCE SETUP AND SECURITY – Space will be ready for advance preparation and decoration at 5:00 on Event day. All vehicles must be moved to the general parking area by 5:30 p.m.
9. CURFEW/TEARDOWN 11:00 P.M. – In the interests of safety on the roads and grounds security, Purchaser agrees to close down space activities, to remove personal property, and leave the grounds by 11:00 p.m. Great Meadow/Sunset Polo chairs, tables and other property may not be removed from the grounds. Vehicles will not be permitted to drive on Stadium Hill outside of assigned parking spaces.
10. LIABILITY – Purchaser releases the Sunset Polo, the Great Meadow Foundation, its staff and owners, and any neighboring Landowner from any liability for personal injury, damage or loss of personal property. Purchaser accepts responsibility for repair or replacement of items if Guests cause any damage. Purchaser understands and agrees that violation of any of the above lawful provisions applicable to this private property may result in action to stop such activity as well as future non-renewal of Purchaser’s space, and a fine or other actions as permitted by law.
11. PERSONAL TENTS, CANOPIES, SUN UMBRELLAS are prohibited on the berm and other areas.
